What does a missed call cost an HVAC or plumbing company?
The gross profit of the job it would have booked, which depends on the trade and the hour. A plumbing call at 11 p.m. is usually an emergency: a burst pipe, a backup, a dead water heater. In our trade value model a booked emergency plumbing call is worth about $801 on the first job and $411 in gross profit, against $567 and $282 for the average plumbing call.10
| Trade | Booking rate | After hours or any time: gross profit lost per 10 missed calls | Daytime: gross profit lost per 10 missed calls |
|---|---|---|---|
| Plumbing | 43% | $1,767after hours (emergency), $411 GP a booked call | $1,213daytime, $282 GP a booked call |
| HVAC | 38% | $2,356after hours (emergency), $620 GP a booked call | $2,204daytime, $580 GP a booked call |
| HVAC replacement inquiry | 38% | $6,072any time, $1,598 GP a booked call | Same value day or night |
| Garage door (spring calls) | 31% | $899any time, $290 GP a booked call | Same value day or night |
| Pest control (general, 12 months) | 42% | $932any time, $222 GP a booked call | Same value day or night |
Ten missed calls nobody wins back × booking rate × gross profit per booked call, first job (pest: first 12 months). Values: Isoline trade value model v1.0, base case.10 Booking rates: ServiceTitan, June 2022; garage door is garage door and water treatment combined, pest uses the all-trades average.9
For a plumber with 150 new-customer calls a month, a quarter after hours going to voicemail, that adds up to about 53 missed calls, 17 booked jobs and $6,400 in gross profit a month, after winning a quarter back with callbacks.

Is answering the phone the same as booking the job?
No, and many answering services sell only the first. Answering means a person or an AI picks up. Booking means the call ends with a time on your schedule. In ServiceTitan's June 2022 data, plumbing booked 43% of calls, HVAC 38% and garage door with water treatment 31%; shops with fewer than 5 techs booked 24% and shops with 25 or more booked 59%. After 6 p.m., small shops booked about 9%.9
Across home services, 52% of callers reach a person, according to Invoca's 2026 benchmarks.11 CallRail's January 2025 report put the home services missed-call rate at 14%.12 The two count different things: CallRail counts calls nobody answered, and Invoca counts callers who spoke with a person, so menus, voicemail and AI agents all fall outside its 52%.
A service that takes a message turns a missed call into a callback. That's better than voicemail, but the homeowner with water on the floor is still dialing the next plumber. Ask every service you consider what share of calls ends with a booked job, and how they know.
What are the options for answering calls you miss?
- In-house CSR or dispatcher. Knows your prices, your techs and your schedule, and books straight into your field software. Covers the hours they work, so nights and weekends need something else.
- Live answering service. People at a call center, usually billed by the minute. They take messages and can be set up to reach your on-call tech; the plans we checked also offer scheduling into a shared calendar.4,13 Good for nights, weekends and overflow.
- AI answering. Picks up every call at once, any hour. Entry plans take a message or text a booking link; higher plans book into a calendar, and some into field software.2,7 Test it on your hardest call types before you trust it with emergencies.
- Hybrid. AI picks up first and hands emergencies or confused callers to a person, or a live service takes overflow from your office. Most of the risk sits in the handoff.
- After-hours only. Your office answers by day and a service takes nights and weekends. Often the first fix for an emergency trade, and usually the cheapest.
- AI add-ons from field software. Some field software platforms sell their own AI answering that books into their schedule. Price it like any other AI option, and check how it hands off emergencies.
What does an answering service cost at 100 calls a month?
We priced each option at 100 new-customer calls a month, assuming 3 minutes a call (300 minutes). Prices come from each provider's own pricing page in October 2026. Price it at your volume in the Missed Call Check.
| Option | Published price, Oct 2026 | A month at 100 calls | Books onto your schedule | On-call dispatch | Field software link | What to measure |
|---|---|---|---|---|---|---|
| In-house CSR | About $5,331 a month, full-time5,6 | $5,331, business hours only | Yes | Business hours | Works in it | Answer and booking rate by person |
| Live service | $1.09 to $5.00 a minute3,4,13 | $479 to $1,7254,13 | Into a shared calendar on plans we checked | Can page on-call; confirm fees | Not listed | Messages booked within a day |
| AI answering | $40 to $789 a month, including a required phone plan1,2,7 | $64 to $4491,2,7 | Higher plans; entry plans take a message | Transfer rules vary | Some plans | Transfers, bookings, hang-ups |
| Hybrid (AI first, people on overflow) | Sum of the two | Sum of the two | Depends who answers | If people handle it | As above | Calls lost at the handoff |
| After hours only | Live or AI plans | $40 to $395 for 25 night calls1,4,13 | Usually a message | Yes: the main reason to buy | Varies | Night calls booked by 10 a.m. |
| Field software AI add-on | Not compared here | Ask at your call count | Into that platform | Check transfer rules | Built in | Same as AI |
Live answering per minute: plan price ÷ included minutes, or the listed per-minute rate; the $1.09 rate is a 10,000-minute plan, and at small-shop volume published plans run about $1.20 to $5.00 a minute.3,4,13 AI: the $40 entry price is a $25 add-on to a phone system (40 calls) plus the phone plan it requires, from $15 a user billed annually; the 300-minute figure includes that phone plan too.1 Taxes and fees extra. At 100 calls, AI plans that book into field software start at $449 among those we checked.2
CSR cost = $21.53 an hour × 2,080 hours ÷ 12 ÷ 70.0% = about $5,331 a month$21.53 is the BLS median hourly wage for customer service representatives in May 2025. Wages and salaries were 70.0% of private-industry employer compensation costs in June 2026, so dividing by that share adds benefits and payroll costs.5,6 Add recruiting and a backup when they're out.
Price per minute only matters next to what the calls are worth. In the plumbing example above, an after-hours service that answers 9 of every 10 calls now going to voicemail brings back about 11 booked jobs a month, worth about $4,500 in gross profit, for $40 to $720 a month at published prices. That range covers only the 38 or so night calls (about 113 minutes). The table above prices all 100 calls a month, which is why its figures run higher. A CSR covers daytime only, so on missed calls alone the same math brings back about 5 jobs; a CSR earns the salary by booking more of the calls you already answer.10
How should an after hours answering service handle emergencies?
By your rules, written down before the first night. The service can't tell a dripping faucet from a burst supply line unless you tell it which questions to ask and what to do with each answer.
- Set the on-call rotation. One tech per night or week, a backup, and a phone number for each. Give the service the schedule a week ahead.
- Define what counts as an emergency. For example: active water leak, sewage backup, no heat below a set temperature, no cooling above one, no water, a garage door stuck open at night. Everything else books for the next morning.
- Decide the after-hours fee and say it on the call. Callers who hear the price up front and still want a truck are real jobs.
- Set a callback time. The on-call tech calls the customer within a set number of minutes. If the tech doesn't confirm, the service tries the backup.
- Get every call logged with name, address, problem and outcome, so the office can turn the morning's messages into booked jobs by 10 a.m.
- Give safety instructions for the serious calls. Smell of gas: leave the house and call the gas company or 911 from outside. Water leak: shut off the main valve. These go first in the script.
What should the answering script say, by trade?
- "Is water leaking right now, or is sewage backing up?" If yes, walk them to the main shut-off and dispatch.
- "Do you have hot water?" A leaking or dead water heater is a same-night or first-thing job.
- Give the after-hours fee, take the address, and book the on-call tech or the first morning slot.
- "Is anyone in the home elderly, a baby or medically at risk?" and "What's the temperature inside?" These decide tonight or tomorrow.
- "How old is the system, roughly?" Over 10 to 15 years, flag it for a replacement conversation on the visit.14
- Book the slot, and ask if they're on a maintenance plan.
- "Is the door stuck open, or is a car trapped inside?" A door that won't close at night is the emergency.
- "Did you hear a loud bang?" That's usually a broken spring: tell them not to force the door, and book the visit.
- Quote the trip or spring price range if you publish one.
- "What are you seeing, and where?" Stinging insects near a door or rodents inside move up the schedule.
- Book the first service and offer the quarterly plan on the same call.
- Note the street; new plan customers near an existing route are worth more.
Keep each script short enough to read in under a minute. Then listen to ten recorded calls a month and fix the lines callers trip on.
How do missed calls affect Google Local Services Ads and your map?
Local Services Ads. Since October 1, 2026, Google charges for a missed LSA call placed during business hours when the caller stays on the line more than 20 seconds, according to Google's email to advertisers. If the first call isn't billed, a later qualifying call can be; your follow-ups to the same customer within 15 days are charged once.8,15 So the hours you set in LSA should be hours someone actually answers, and a service that picks up within 20 seconds stops you paying for leads nobody spoke to.
Your map listing. In Whitespark's survey of local search experts, whether a business is open at the time of the search ranked fifth among Google Maps ranking factors.16 Listing longer hours can help you show up at night, but only if the phone is answered during them. A listing that says open and a phone that goes to voicemail wastes the visibility.
Answering only counts calls that ring. Calls that never ring because you don't show up across your service area are a separate problem: in our Charlotte study, a typical company was in Google's top 3 for 70% of residents near its shop and about 10% at 4.7 miles.17 The free map scan shows where you stand.
How do you tell if an answering service books jobs?
Measure two rates, weekly, from your own records:
- Answer rate = calls a person or the AI picked up ÷ new-customer calls. Your phone system or call tracking has both numbers.
- Booking rate = calls that ended with a job on the schedule ÷ answered calls.
Then reconcile. Every week, match the service's call log (name, phone number, problem, outcome) against new jobs created in ServiceTitan, Housecall Pro or Jobber in the same week. A message isn't a booking until a job exists. Count after-hours calls on their own, and check how many messages the office turned into jobs by mid-morning.
If you track calls by source, you can go one step further and see cost per booked job for each channel. Our cost per booked job calculator does the math.
What should an HVAC answering service do differently?
Book replacement estimates too. A daytime call asking about a new system is worth about $3,955 once estimates that don't close are counted, against about $1,250 for the average booked HVAC call.10 An answering service for an HVAC company should know which calls are replacement inquiries and route them to whoever runs estimates, with a time.
Plan for the peaks. HVAC booking rates drop in summer, when call volume spikes and the office is overloaded; ServiceTitan's 38% HVAC figure is from June.9 Overflow coverage for the first heat wave matters more than 24/7 coverage in April. No-heat and no-cool calls from vulnerable households go to the on-call tech. Members on a maintenance plan call first, and each renewal carries their repairs and replacements forward; our HVAC maintenance agreement calculator puts a number on it.
What should a plumbing answering service do at night and on weekends?
The plumber who answers. Emergency calls go to whoever picks up first, and a booked night call is worth more: about $801 on the first job in our model, against $567 for the average plumbing call.10 In ServiceTitan's data, small shops booked about 9% of calls after 6 p.m.9 For many owner-run plumbing shops an after-hours service with clear dispatch rules and a published after-hours fee is the first fix, ahead of more advertising.
Our plumbing program for night and weekend calls
We check where you show up for emergency searches by time of day, set up your Google hours and after-hours call handling, text back missed callers, and report the after-hours answer and booking rate from your call data. See After-Hours Capture.
Garage door: spring calls and spam
A broken spring is urgent but rarely a 2 a.m. job, so the money is in answering fast during the day and booking a same-day or next-morning visit. We value a booked spring call at $623 on the first job.10 Garage door calls book at 31% in ServiceTitan's data (combined with water treatment), lower than plumbing or HVAC in the same data.9
Before you pay per minute, filter spam, sales calls and wrong numbers out of your call count. If a service bills you for those minutes, ask it to screen them, and count only new-customer calls when you judge its booking rate.
Pest control: calls that should become plans
A pest call is a plan sale, or should be. In our model a booked general pest call is worth $179 on the first visit and $404 over 12 months, because about half start a quarterly plan (our assumption) and plan customers tend to stay: Rentokil reported 80.5% yearly retention in North America for 2025.10,18 An answering service that books one-time visits without offering the plan leaves most of that on the table. Score it on plans started.
Questions owners ask
How much does an answering service cost for a plumber?
At 100 calls a month and 3 minutes a call, published live plans run about $480 to $1,725 a month and AI plans about $64 to $449.1,2,4,13 Covering only 25 night calls (75 minutes) runs about $40 a month on the cheapest AI plan and $159 to $395 on live plans.1,3,4,13
Is an AI answering service good enough for an HVAC company?
For taking details and booking routine calls, often yes. Test it on your hardest calls first: a no-heat call from an elderly customer, a replacement inquiry and an angry repeat caller. Check how and when it transfers to a person.
What's the difference between an answering service and a booking service?
An answering service picks up and takes a message. A service that books puts the job on your schedule, in a calendar or your field software. Only the second turns a call into a booked job without your office calling back.
Do I need 24/7 answering or just after hours?
If your office misses few daytime calls, after-hours coverage is the cheaper first step. If you also miss calls during the day when the office is busy, add overflow. The Missed Call Check splits the two so you can see which is bigger.
Does Google charge for missed Local Services Ads calls?
Yes, since October 1, 2026: a missed call during business hours is billed when the caller stays on the line more than 20 seconds, according to Google's email to advertisers.8 Set LSA hours to when someone answers.
What answer rate should I aim for?
Know yours first. CallRail's report found home services businesses missed 14% of calls;12 if you miss more than that, start with coverage. Then track booking rate, because answered calls that don't book cost you just as much.
How long is a typical service call?
We assume 3 minutes for pricing, which is our assumption. Check average call length in your phone system; per-minute bills scale with it.

How we priced the options: we opened each provider's pricing page on October 19, 2026 and recorded plan prices and included minutes or calls. Effective per-minute price is plan price ÷ included minutes, or the listed per-minute rate where a provider lists one; taxes, fees and overage are extra. Per-call AI allowances are converted at 3 minutes a call, our assumption. At-volume figures use the cheapest plan from each provider whose included minutes cover the volume. The CSR cost uses the BLS May 2025 median wage and the June 2026 wage share of private-industry compensation.5,6 The value of a missed call comes from our trade value model (v1.0, October 2026, base case), with job-mix shares and several margins labeled as assumptions.10 Answering vendors are named in the sources only; we have no commercial relationship with any of them.
